These terms govern access to and use of dossx.com and any DossX product — CMS, Frontdesk, Broadcast, Vault, Prospector, or Crew. By creating an account or engaging DossX for any product, you agree to these terms. If you're accepting on behalf of a company, you're confirming you have the authority to do so.
1. Acceptance of Terms
These terms form a binding agreement between you ("Client," "you") and DossX. They apply alongside our Privacy Policy, which is incorporated by reference. If you don't agree to these terms, don't use any DossX product.
2. Description of Service
DossX is a portfolio of proprietary, custom-built products: DossX CMS (a website platform with a page builder, AI content assistant, AI chatbot, and e-commerce), Frontdesk (an AI phone agent), Broadcast (managed social content), Vault (an internal knowledge assistant), Prospector (lead research and list building), and Crew (multi-step workflow automation). 3. Accounts & Registration
- You must provide accurate, current information when creating an account for any product
- You're responsible for maintaining the confidentiality of your account credentials and for all activity under your account
- You must notify us promptly of any unauthorized use of your account
- Accounts are for use by the client who created them, or their authorized team members
4. Fees & Billing
- DossX CMS is billed per site, monthly or annually, per the plan selected at signup
- Frontdesk, Broadcast, Vault, Prospector, and Crew are billed as a one-time setup or build fee, plus a recurring monthly retainer, scoped to the engagement
- Where applicable, an initial one-time build fee applies separately from any recurring fee
- Recurring fees renew automatically until cancelled; cancellation takes effect at the end of the then-current billing period
- Fees may change with at least 30 days' notice before your next renewal
- Usage-based overage charges (storage, traffic, call minutes, AI usage) bill in arrears on the following billing cycle
- Refunds are available on a pro-rated basis within the first 14 days of a first paid billing cycle; no refunds after that window, and build or setup fees are non-refundable once work has started
- Non-payment past 7 days may move an account to a restricted state; content and data are preserved for 30 days before removal

5. License Grant & Restrictions
DossX products are licensed, not sold. Subject to these terms and an active engagement, DossX grants you a non-exclusive, non-transferable, revocable right to access and use the relevant product for your own business.
You may not:
- Sublicense, resell, or redistribute any DossX product itself — as distinct from the output it produces for you — without a signed reseller agreement
- Reverse-engineer, decompile, or attempt to extract a product's underlying source, systems, or architecture
- Operate more sites, seats, or workflows than your plan or scope includes without adding the corresponding license or add-on
- Attempt to circumvent per-client data isolation controls on a shared or multi-tenant account
- Exceed fair-use limits on usage in a way that degrades service for other clients
6. Client Content & Responsibility
You retain full ownership of the content, customer data, documents, lead lists, and brand assets you create, upload, or generate through any DossX product. You're solely responsible for that material — including its legality, accuracy, and any rights needed to use or publish it. DossX doesn't review client content or output before it's used and isn't responsible for how a client uses it, subject to our right to suspend use that violates Section 9 (Acceptable Use) or applicable law.
7. AI-Generated Output Disclaimer
Every DossX product relies on automated systems that may produce output — drafted content, call handling, research, workflow deliverables — that is inaccurate, incomplete, or unsuitable for your purposes. Where a product is designed for human review before its output is published or acted on, that review is your responsibility, and is required for any regulated or safety-sensitive use. DossX is not liable for consequences of acting on unreviewed automated output.
8. Payment Processing
- DossX CMS includes built-in e-commerce features that let clients sell products or services through their own sites
- Payments across DossX products are processed by our third-party payment processor (Stripe); DossX does not directly handle or store full payment card details
- Transactions between a client and that client's own customers are between them — DossX is not a party to those sales
- Clients are responsible for their own tax obligations, product legality, fulfillment, and compliance with applicable consumer-protection law
9. Acceptable Use Policy
You agree not to use any DossX product to:
- Publish or transmit unlawful, fraudulent, defamatory, or infringing content
- Distribute malware or attempt to compromise a product's security
- Send spam or engage in unsolicited bulk messaging or calling
- Abuse an AI-assisted feature to produce content or contact that violates law or these terms
- Attempt to access another client's account, data, or workflow without authorization
- Resell or repackage a DossX product itself as a competing product outside a signed reseller agreement
We may suspend or terminate accounts that violate this policy.
10. Agency, Reseller & White-Label Terms
Applies where a client operates a DossX product on behalf of their own clients (for example, an agency running DossX CMS or Broadcast for multiple client brands).
- Agencies may operate the product on behalf of their own clients and bill those clients directly; DossX has no direct contractual relationship with an agency's end clients
- A white-label option, where available, removes DossX branding from the client-facing interface
- The agency is responsible for its own client agreements, first-line support, and payment collection; DossX's obligations run to the agency, not to the agency's clients
- Each end client's data is isolated from every other end client's, enforced in code
11. Intellectual Property
DossX retains all ownership of every product itself — the codebase, systems, and underlying technology each one runs on, along with the DossX name and logo. Nothing in these terms transfers any of that to you. An engagement is a license to use a product, not a copy of it, and doesn't grant rights to DossX's trademarks except as needed to reasonably describe that your business uses DossX.
12. Termination
- You may cancel at any time; cancellation takes effect at the end of the current billing period
- We may suspend or terminate your account for violating these terms, non-payment, or unlawful use of a product
- Upon termination, you have 30 days to export your content and data before it's permanently deleted
- Sections that by their nature should survive termination — including Sections 11, 13, 14, and 15 — do
13. Disclaimers & Warranties
Every DossX product is provided "as is" and "as available." Except where a custom service-level agreement has been separately negotiated, DossX does not guarantee uninterrupted or error-free operation, and disclaims all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement, to the maximum extent permitted by law. DossX makes no warranty regarding the accuracy, legality, or fitness of AI-generated output.
14. Limitation of Liability
To the maximum extent permitted by law, DossX will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits or lost data, arising from your use of any DossX product. DossX's total liability for any claim arising from these terms will not exceed the amount you paid DossX for the relevant product in the twelve months preceding the claim.
15. Indemnification
You agree to indemnify and hold DossX harmless from claims, damages, and expenses (including reasonable legal fees) arising from your content, your use of a DossX product in violation of these terms, or your violation of any law or third-party right.
16. Governing Law & Disputes
These terms are governed by the laws of the jurisdiction specified in your order confirmation or signed agreement, without regard to conflict-of-law principles. Any dispute arising from these terms will be resolved in the manner specified there.
17. Changes to These Terms
We may update these terms as our products evolve. Material changes will be reflected by an updated "Last updated" date at the top of this page, and, where required, we'll provide additional notice before they take effect.
